What do you need to do? 

The government guidelines published on the 23rd June clearly outline the expectations of hospitality venues such as restaurants, bars and pubs. Many of these will concern the physical layout of your property. This may mean spacing tables out to allow sufficient social distancing, ensuring customers have access to hand sanitiser or installing screens. 

However, some of the requirements can be met, or made easier by using either your existing website, or my creating a new website or online system. Requirements such as managing entry numbers, reducing the need to queue or encouraging contactless ordering could be achieved by just modifying your current site, or creating a new site. 

An additional requirement causing particular concern to pub and restaurant owners is the need to collect customer data in order to assist Test and Trace. At first glance this should be quite simple. Just ask your customers for their contact details but there is much more to it than that. 

How can a pub or restaurant website design help? 

A good restaurant website design or effective pub website can be used by you to manage bookings for tables and allocate time slots. This is relatively straightforward and will allow you to not only control the number of customers in your premises, but also collect customer data. Using a secure website to do this reduces the risk of customers’ data being compromised. 

A responsive website that is able to be used on a mobile device, gives customers flexibility to book when they are out and about. Mobile responsiveness means that you can then add more functionality that customers can use when they are in your bar, pub or restaurant, for example it may be possible to set up online ordering. Reducing the need for staff to make direct contact with customers.  

A more sophisticated website with ecommerce functionality can even allow customers to order and pay online, minimising staff/customer contact even more.

Collecting & storing customer data

The government has asked that each restaurant, pub or bar keeps a record of all customers and visitors. This data should be kept for 21 days so that it can be passed to NHS Test and Trace if requested.

When you collect and store customers’ personal details you are subject to data protection laws. While these can be complex there are some general rules.

  • You should only collect the information that you need
  • You should tell customers why you are collecting the data and what it is used for
  • You should not use that data for any other purpose
  • You should collect and store data securely

Given these rules you can see why some apparently simple solutions may be problematic. For example, in smaller establishments it may be tempting to stick to a ‘visitors’ book’ and ask everyone who comes in to enter their name and contact details. However, this is difficult to keep secure, and customers may be able to see others’ details.

It is far better to collect customer and visitor data electronically either prior to a visit, or when they arrive at your premises.
